Optimizing Response Rates
Improve response rates for your email sequences. Actionable advice below.
1. Target your search
The only recommendation in this section that isn’t about the actual outreach — but likely the most important factor: targeting the right talent profile. The closer a profile matches your job requirements, the more likely they are to view your message as relevant — and respond.

2. Increase the number of steps
With a multi-step sequence, you will boost reply rates significantly compared to a single-step outreach. We recommend a minimum of 3 steps in your sequence, with the best performing sequences typically including 4 steps.

3. Send to personal email inboxes (vs. professional)
When adding a profile to an email sequence, we recommend using the profile’s personal email address (instead of their professional email address) to boost response rates by over 40%. We’ve found that personal emails typically minimize bounce rates.

4. Include an email signature
A professional email signature reinforces your credibility and provides essential context to your recipients. By including your name, role, and company in every message, you're reminding candidates that your outreach is legitimate and relevant.

5. Format your emails with bold text (and emojis 🧃)
Use bold text and emojis to help your emails stand out in crowded inboxes. You can also experiment with emojis in your subject line, depending on your style.
6. Personalize your template with AI commands
Personalized AI commands let you tailor messages to each recipient at scale, giving your outreach a personal touch and significantly increasing the likelihood of a reply.

7. Add LinkedIn steps to the outreach sequence
Complement your email sequence by incorporating LinkedIn steps, adding a multi-channel touchpoint that increases the likelihood of the candidate viewing your message.

8. Sending emails “on behalf of” (SOBO)
Increase open and reply rates by sending emails on behalf of the hiring manager, founder or another recruiter. Having outreach come from different team members (like a hiring manager or founder) makes your messages feel more personal and relevant — leading to better engagement.
