Sequences
A step-by-step guide to set up email sequences, reach out to top candidates, and track your success.
Introduction
On Juicebox, you can send outreach emails via your connected email address (Gmail or Outlook) or LinkedIn Steps. This guide will walk you through connecting your email address, setting up sequences, and adding candidates into your sequences.
Sequences Overview
Select the Sequences tab on the left-hand menu. You can view existing email sequences or create your first one.
Creating a Sequence
When you create a sequence, you can choose between three templates, or create your own sequence from scratch.
Regardless of whether you choose a template or not, you will still be able to edit your email afterwards.
Configure Your Sequence
Next, select “Edit Sequence Steps” to start configuring your sequence. You can also duplicate and archive sequences.
After selecting “Edit Sequence”, you will enter the sequence editor.
Configure the first step in your sequence along the following parameters:
- Sending time: you can select between immediate sending, delaying by a certain amount of time, or sending on a specific time.
- Immediate Sending: the email will be sent immediately.
- On the next Business Day: for example, the next business day at 2pm.
- After [Duration]: for example, after 2 days at 4pm Pacific Time.
- Sender & Subject: choose your sender, cc, bcc, and subject line.
- Senders: can be yourself, or any other registered user.
- Subject: can include variables, e.g .”First Name” of recipient.
- Add Variables and AI Smart Commands
- Variables: First Name, Current Company, etc.
- AI Smart Commands: “Add one sentence on the candidates’ relevant work experience”
- For more details, please see the “Email Personalization” section below.
- Email Text: Customize your template. Use variables and AI!
- Unsubscribe and Email Signature: can be adjusted to your preferences.
- Unsubscribe: will add a grey “Unsubscribe” link to the bottom of your email text, allowing the recipient to opt-out of future emails.
- Email Signature: adds the senders’ email signature to all emails in the sequence. To include your email signature, please follow the steps linked here.
Now that you have created your campaign template, you can preview your message on the right-hand side.
6. Email Preview: see what your email will look like in the recipients’ inbox.
- Select User: you can choose among recently shortlisted profiles to preview what the email will look like.
- Test AI Command: click this option to preview the AI-personalization for your selected example profile
- Test Email: send a preview of the email to yourself or a colleague.
Email Personalization
You can add two types of customizations into emails:
- Variables: best for standardized fields, such as “First Name” or “Current Company”. Can be added to subject lines and to email body text.
- AI Smart Commands: the AI will write a custom personalization for each profile. For example, you can ask the AI for a “summary of the candidate’s relevant skills.”
With AI Smart commands, you can choose between pre-set examples, focused on Work Experience or Skills, or write your own. When writing your own AI command, consider the following: topic, sentence length, applicability across your candidate pool.
LinkedIn Steps
You can use the dropdown to switch a step to be a LinkedIn Message or Connection Request instead. LinkedIn steps are treated as tasks, meaning you will receive a notification and have to complete the task on LinkedIn manually. Your tasks are also tracked in the Projects page.
There are two types of LinkedIn Steps in Juicebox:
- Connection Request
- LinkedIn Message (or InMail)
Connection Requests include only a sender selector. Note that by choosing a different sender, the task will be assigned to them instead. They must also be a Juicebox user. You can combine different senders of LinkedIn steps with Email (see multi-step sequences below).
LinkedIn Messages include both a subject line and body, similar to emails.
Once a task has been triggered, it will appear in the Tasks menu on the Projects page. You can see more details by selecting “view all”.
In the case of LinkedIn Messages, the task menu will show options to copy the LinkedIn message and subject line. For Connection Requests, it will just open the LinkedIn profile. After completing the task, you can mark the step as Done, or Skip it. Note that when a LinkedIn step is pending, the sequence will pause until it is completed (by marking it “Done”).
Multi-Step Sequences
Juicebox allows for multi-step sequences to optimize your response rates. You may want to share additional context about your company, or check in with a candidate on whether they are interested in your role. Multi-step sequences can include both email and LinkedIn steps.
To add a step to your sequence, scroll to the bottom of your first step and select “Add Step.”
This will open up a new email step, in which you can select the same configurations as in your first email: email text, timing, and more.
There are slight changes to how the timing works. Instead of “immediately”, you can choose between a delay measured in days or business days. Additionally, you can choose your time and time zone.
If a candidate responds to your email while the follow-up is scheduled, Juicebox will automatically stop sending any follow-ups.
Pausing, Resuming, or Stopping a Sequence Run
If you want to temporarily stop sending messages to all profiles in a sequence, you can use the Pause Sequence option. You can resume the sequence at any time, and it will continue from where it left off.
Sequences can be paused or stopped in a few different ways:
- Automatically: When a candidate replies to your outreach, the sequence will automatically pause for that candidate.
- Manually: You can manually pause, resume, or stop a sequence at any time, either for a single candidate or for all candidates in the sequence.
Manual controls are helpful if you want to delay outreach, make edits, or stop follow-ups after receiving a response through another channel (like LinkedIn).
- Pause: Temporarily halts all remaining steps in the sequence. Use this if you want to resume sending later.
- Resume: Continues the sequence from the next unsent step for each candidate.
- Stop: Permanently ends the sequence for the selected candidate(s). No further steps will be sent. Use this when a profile is no longer relevant, has opted out, or has already engaged outside of email.
To take action:
- Open the Sequence Tracking view.
- Select one or more candidates.
- Choose Pause Sequence, Resume Sequence, or Stop Sequence from the options menu.
You can also stop a sequence from the Profile View.
Tip: Changing your Connected Email Address
To change your connected email address, select the Integrations Marketplace tab on the left-hand side menu. Then, you will be able to review which platform you have currently connected your email to, as well as disconnect or reconnect your emails.
